A NASDAQ-listed interior construction and manufacturing company required a reliable virtual platform to conduct its Annual General Meeting (AGM), bringing together shareholders, auditors, and key stakeholders in a structured digital environment. Having conducted multiple virtual AGMs over the past five years, the client placed strong emphasis on consistency, governance, and effective coordination among stakeholders across regions, including regulators and share registrars. The objective was to create a virtual environment that supported informed participation, transparent communication, and efficient execution of AGM proceedings.

MANAGEMENT OF CHALLENGES
The AGM involved 3 voting groups: the Board of Directors, shareholders who had submitted votes in advance, and shareholders who participated in live voting during the meeting. As some individuals belonged to multiple groups, participant communications required careful management. Separate registration confirmation templates were prepared for each group, and special attention was needed to ensure that participants received the most appropriate invitation and event information based on their roles and voting status.
We pointed out to the client all the “overlapping’’ participants and eventually cleared the confusion with the client and structured them accordingly.
