The Association required voting for an on-site audience of around 400 participants. The results had to be live displayed and re-voting facilitated in case of ties.
With prior experience of systems in other countries that did not work reliably, the client was very concerned about the stability of the result consolidation process.

SET UP
The Client had many stakeholders involved, and several dry runs were conducted before the on-site setup.
On the setup day, the transponder network was laid out, and frequency testing was conducted. Considering the venue has a relatively poor Wi-Fi network management, band adjustments were made to optimize the free ranges.
On the actual event day, voting pads were distributed to the participants upon registration. A test-vote allowed participants to familiarize themselves with the process. Within the event itself, around 15 elections and voting sequences were triggered and successfully consolidated.
A global sports association partnered with Globibo through an event organizer to deliver highly secure voting for 400 participants, including physical voting pads, transponders, and a customizable polling platform. The solution enabled parliamentary voting, as well as elections with an auditable display of the result consolidation.

A prominent conference organizer in Singapore partnered with Globibo to enhance audience engagement and streamline event operations for the congress of a global sports association attended by 400 participants from 200 countries. MANAGEMENT OF CHALLENGES
Events with many stakeholders add many logistical and communication challenges to technical complexities.
Nobody in the team had a complete understanding of the voting and auditing procedures. Therefore, the Globibo team had to second a senior director to the operations to support the client onsite on changes and adjustments.
The venue has a rather unmanaged wifi network, and many different vendors brought in their own infrastructure that used 2.4 / 5 GHz network bands. To facilitate the reliable connection of hundreds of devices within milliseconds, the network bands had to be properly reviewed repeatedly to optimize the system’s response time.
Due to the type of participants, approximately 20-30 individuals did not show up, while around 20-30 others joined. The right (de)tagging of devices was very important to retain consistent and live-auditable voting results.

Technical Director To provide senior advise on the planned preparation as well as live-execution during the event, a senior technical director was committed to the event to support the client team.

Voting Manager
The Voting Manager prepared and paired voting pads with the corresponding transponder network, monitored the registration desk as well as system configurations.
The voting manager also reviewed network bands and fine-tuned the settings onsite.
