SETUP

  • The team dedicated 5 man-hours to set up and configure the virtual AGM platform, ensuring all the necessary features and functionalities were in place and the design was aligned to the organization’s brand guidelines.

EQUIPMENT

The communication was minimal during the initial phase of preparation leading up to the rehearsal which was 3 days before the AGM and during the rehearsal, it was not as smooth as it could have been. Especially, the VIPs needed more preparation time and were not aware of the actual internal AGM process.

After the rehearsal, the client provided feedback and suggestions on how they would like to conduct the AGM and the timeline was very tight as there were only 3 days to implement their suggestions.

CASE STUDY FOR VIRTUAL AGM FOR SGX-LISTED MANUFACTURING COMPANY

The objective was to provide a seamless and interactive virtual AGM platform for a Singapore-stock-exchange-listed manufacturing company, accommodating 50 participants, with features like registration, document management, video conference integration, speaker management, electronic voting, Q&A sessions, and recording capabilities.

There was also a big challenge in managing 3 different parties, the Client, Share Registrar, and Scrutineer, with little internal communication initially. Globibo served as a mediator between the 3 parties to support a successful AGM day.

MANAGEMENT OF CHALLENGES

After the rehearsal, we had to inform them that there needs to be clear and constant communication between all parties. We worked through the 3 days leading up to the AGM to ensure that all key stakeholders of the client were comfortable with the AGM process.

As for the management of the challenge of coordinating with 3 different parties, we eventually worked closely together, ensuring that all parties were aligned in expectations

 

EQUIPMENT USED

Globibo utilized its virtual AGM platform Events.Studio with integrated video conferencing technology, an electronic voting system, and AI-powered transcription capabilities to ensure a seamless participant experience.
Furthermore, the older model of the inbuilt mixer needed to be adjusted a lot to work with the conference microphones to avoid unpleasant feedback.

Conducting the AGM from start to finish in line with the planned flow and execution of the polls and after that sharing of results live. It was nice to see that all parties that initially had a rather disjointed view of the proceedings were satisfied with the result.
