SET UP
The setup required precise positioning, with interpreter booths located on one side of the venue and transmitters placed at the other end to maximize signal strength and ensure flawless coverage across all 2,800 participants.
This integrated setup was tested rigorously before the start of each day for uninterrupted operations.
A spiritual gathering of thousands of participants from different countries and 28 linguists requires a setup that can accommodate scale while addressing individual concerns. Every detail mattered—from language access to smooth coordination—ensuring participants experienced unity, clarity, and connection in a truly transformative environment.
Large-Scale, AI-supported Language Interpretation Tech
Few communities in the world gather such a large number of participants over several days to share inspiration and collective energy.
With over 2,800 attendees, the event required flawless multilingual interpretation, high-quality audio, and reliable technology to maintain engagement throughout its six-day duration.
The complexity of scale—ranging from interpretation booths, receivers, consoles, and mobile transmitters to AI-driven support—demanded precise planning and professional onsite execution.
In addition, a dedicated support infrastructure was essential to manage attendees, interpreters, and technical staff while ensuring smooth daily operations and a meaningful participant experience.

MANAGEMENT OF CHALLENGES
Large-scale religious gatherings bring unique operational challenges—ranging from the emotional intensity of participants to the sheer complexity of technical systems.
- Scale & Distribution: Managing 2,800 receivers and ensuring even distribution across six days required a precise logistics system. A tagging and verification process helped track and maintain receiver functionality daily.
- Interpreter Coordination: With multiple interpreters working in rotation across 14 booths, seamless handovers were critical. Events.Studio’s AI Assist platform monitored channel accuracy and provided linguistic support, reducing the risk of errors.
- Audio Consistency: Ensuring consistent sound quality across a large venue was a challenge due to a large number of linguists with different speaking volume. The onsite engineers calibrated channels every minute.
- Receiver Earplug types: In this event a new type of earplugs was targeted to optimize the listening experience. Unfortunately the specific model were not suitable for the background audio. Alternatives had to be offered overnight.
- Microphones for some Interpreter Consoles: Based on the feedback of some interpreters, different microphones were used for some interpreter booths. Unfortunately, those microphones created a loopback with the audio feed. The microphones had to be exchanged during the 1st session.

AV Desk Management The AV Desk was organized in a way to support 28 interpreters with their operational work, while at the same time monitoring the broadcast and recording of all channels.

Receiver Management
The Receiver Management Team was responsible for the decentralized distribution and collection of receivers in multiple venues.

AI Technology
The AI engineers combined general and custom models to improve the accuracy of AI transcriptions and translations - before and during the event.
