SERVICES
Live Event for AGM at the Clubhouse based on Events.Studio platform for a full day, including 100 participants in physical attendance, 20 voting counters, and 800 online participants.

SETUP
Globibo set up a full spectrum of equipment required for the Hybrid AGM. In the main ballroom, the Client had high-quality table-top conference microphones for the General Committee, with 2 PTZ Cameras (one for capturing the committee and the other for questions from members on the floor and the management team at the side). Globibo used their digital audio desk mixer to get the audio from the microphones into the ballroom onsite and into the streaming channels for the virtual participants. Online voting was conducted via Events.Studio for club members for onsite and virtual participants. Voting counters were set up for members who did not have personal smartphones or had technical difficulties.

Globibo continues to execute the 8th Hybrid AGMs / EGMs for a prestigious club, seamlessly combining physical and virtual participation. With 100 attendees at the club and 800 online via Events.Studio, the project facilitated smooth voting for all members participating in e-voting before the AGM / EGM days.

Globibo organized and executed a hybrid AGM for a renowned club in Singapore. The event included 100 physically present members, and 800 members participated online through Globibo’s Virtual AGM Platform. This platform has many user-friendly functionalities, including secret voting, Q&A, Video conference integration, document and file management, speaker management, and election nominee profile management, making e-voting very easy.

In each AGM, around 15,000 members were invited, and up to 1,000 members submitted their votes.

Challenges

Due to multiple events running concurrently in the same week, Globibo had to manage the logistics of the equipment and workforce. The client instructed them to ensure that Globibo shows the countdown timer on the screen for questions from the floor. The timer must be accurate and clarified if resolution questions are allocated more than 3 minutes. Auditor reports requested PDF copies of all the vote audit reports, and the extraction process was time-consuming.

MANAGEMENT OF CHALLENGES

The engineering team had sufficient backup for the different roles at the events. Role delegation was clearly defined while remaining flexible and dynamic for other ad-hoc tasks during the setup & execution. Globibo’s team quickly discussed the countdown timer requirements with management during the event and set up several downstage monitors. 
In regards to the auditor reports, they were provided in the required formats and the team of expert stayed until the auditors had finished their review.

BEST EXPERIENCE

There was smooth coordination throughout the setup, live event, and the dismantling and the client was happy that no issues were faced during the event.

Upgrading from 4G to 5G mobile networks:
The Client’s IT department mentioned that the Wi-Fi network provided for the voting lobby was good, and it was smooth for the members to access Globibo’s voting platform.
