A social and recreational club for uniformed personnel required a dependable setup for their physical AGM in Singapore. With 500 in-person attendees, they needed accurate registration, reliable voting, strong audio support, and clear visual communication. Tight setup timing, safety requirements, and the need for smooth agenda flow made the event highly demanding. The client’s priority was to conduct a transparent, well-organized AGM where every participant could follow proceedings confidently.

MANAGEMENT OF CHALLENGES
Venue Logistics
Setup was on Thursday with Rehearsal on Friday. But Friday night, the room was booked for a dinner function. Therefore, all equipment had to be dismantled and set up again on Saturday midnight to be ready for Sunday morning
Voting Security
Considering the event is for a military organization, special requirements had to be considered for voting and data security.
Support Team Coordination
The Client had a support team of around 30 staff that had to be integrated into the platform and AV workflows. Ensuring that all staff had the right information, knew the processes, and executed properly to ensure Quorum can be properly established required a high level of supervision and communication.

Technical Director To provide senior advise on the planned preparation as well as live-execution during the event, a senior technical director was committed to the event to support the client team.

Voting Platform Manager
The Voting Manager prepared and paired voting pads with the corresponding transponder network, monitored the registration desk as well as system configurations.
The voting manager also reviewed network bands and fine-tuned the settings onsite.

AV Crew
The venue had a substantial amount of inbuilt infrastructure for Video, Light, and Audio. The role of the AV Crew was to leverage the equipment as much as possible while ensuring stability for a high-stakes event.
