Globibo provided event production and event tech for a global robotics competition with 3,500 participants over 3 days in Singapore. 

Conference Hall

Audio: ADX Handheld & Lapel microphones with receivers and boosters, Audio mixer desk, stageboxes, 2x Ground line array loudspeakers with subs, 4x front fill, 2x stage monitors, and 4x back fill speakers, countless DIs/Adapters and monitors for 8 different band performances.

Video: Video switchers, 2x Video production servers, 4x laptops, 4x confidence monitors, 15m*4m LED Wall, 2x projector screens with projectors.

Light: 24x Par, 6x moving beam, 8x LIRO Stage wash on tree, lighting board

Staging: 40m x 5m black stage drapes

Competition Timing System: 18x 55” TVs with corresponding laptops, Web-based timing system with group synchronization

Silent Conference System: Mobile Transmitters with 40 receivers with headband headphones

Exhibition Booth Equipment: 8x 55” TV Monitors, including mounting on carpentry

Voting Devices: 75 Android devices with chargers

Exhibition stage: 65’’ monitor on stand, video switcher, digital audio mixer desk, 3 handheld microphones, audio splitter, 2 loudspeakers, Broadcast Camera for recording

Streaming Infrastructure: 4x Tripods with dolly, 2x 100m fibre lines with Switches, 2x stage boxes, 2x 5G backup lines.

A global robotics organization hosted a high-energy, 3-day competition in Singapore, bringing together 3,500 participants, teams, judges, mentors, and international delegates. With multiple stages running simultaneously, continuous matches, strict schedules, and large audience turnout. The organizers needed a robust event production partner who could manage scale, precision, and technical complexity.

The challenge included powering a large-scale conference setup, coordinating live match timing systems, and operating continuous breakout-stage programming—all without interruptions. The client required a setup that supported fast transitions, high-volume footfall, clear visibility, and reliable technical execution across every competition zone.

Timing System

  • The competition was split into 3 zones of around 20-50 teams each. Each zone was governed by a set of judges.
  • A timing system was required that allowed grouping the zones and keeping around 18 monitors in sync.
  • The judges and facilitators were to be enabled to run their own timing sequences in an intuitive system, showing very clear displays to the hundreds of thousands of participants.
  • A huge array of switchers and cables was structured to create the right combination of synchronization and flexibility

Setup & Support Crews
Due to the decentralized nature of the sessions, many parallel venues required specific equipment that needed to be rearranged several times. The requirements for many of those sessions were not entirely clear and required readjustments during the setup period.

Program Development
Several elements of the program were still defined on the actual show dates. 8 different bands/performers were added for a concert evening only around 4 days before the actual event. Furthermore, cameras for live feeds as well as some impromptu live-streaming created positive challenges throughout the entire event.

Professional Services
Many of the event staff were volunteers and not fully trained for large-scale event coordination. Especially, stage management/security was left to untrained staff which required significant intervention throughout the show.
