Due to the venue’s size and the number of participants, the location of the transmitters to ensure proper coverage created the requirements for cable runs of more than 300m as well as several AV desks.

Converting analog and digital signals via a central system that serves simultaneous interpretation (SI), recording, and streaming at different bit rates.

Overseeing receiver collection and return for a group of more than 3,000 participants with over 12 languages without causing delays and long wait times.

MANAGEMENT OF CHALLENGES

We ensured that our team that did prior events in that venue was deeply involved from the beginning but conducted new on-site visits and maintained continuous communication with the AVL technical solutions provider. This allowed us to comprehend the most advantageous transmitter placement to enhance signal strength which in turn prevented frequency dropouts. 

We developed diagrams during our planning phase and conducted compatibility testing several times before the event. Additionally, we performed numerous tests on different recording devices to guarantee the desired high-quality results on different bit rates. The entire process of compatibility testing and problem-solving allowed us to integrate different systems and functions into a single network seamlessly.

A separate project manager was assigned to manage the receiver logistics, which encompassed overseeing a team of staff and ensuring the packing of each collection bag which included peripherals such as headsets, charging cables, and lanyards. Lastly, offering technical support to the participants. Thanks to our experienced staff, standard best practices could be applied to the customer-facing collection counters.

We designed a comprehensive 2-level monitoring system that checked pre/post transmission audio quality. This novel system was tested in smaller projects before and adjusted for the scale of the event.

Given the size of the event, our planning phase stretched out for two months, and the onsite setup itself demanded 4 days. The preparation was in line with our standard approach to most events, where the ultimate measure of our success lies in the sense of satisfaction from both participants and organizers after a successful event. ROLES / TEAM MEMBERS

Account Manager
First responder to the client’s inquiry, understanding the requirements of the project and maintaining constant communication and coordination with the client during the pre-event stages of the project. Reacted to any changes to the project requirements and was the intermediate point of contact between the technical team and the client.

Technical Project Director
Guiding and monitoring the technical planning, equipment preparation, and onsite setup for the event.

Lead- SI System
Provided comprehensive technical support during the live event, maintained and was accountable for the use of the interpreting equipment (consoles, booths, central control units), and ensured post-event deliverables of the event met high-quality standards.

Lead - Recording
Responsible for 2 parallel recordings of all audio channels (digital and analog) at different bit rates.

Lead - Monitoring
Responsible for the design and implementation of monitoring infrastructure. This project lead also did the actual monitoring of transmission throughout the event.

Lead - Receiver Management
Managed a team of staff responsible for packing and distributing receivers/headsets and delivering technical assistance for the 3,000 participants.
