SETUP

Considering the venue’s extreme limitations on a) the setup / dismantle process and b) the actual setup of technical devices, a non-traditional approach had to be developed to deliver accurate timing results. 

All staff deployed for the setup and operation were required to refresh their safety certification for the specific venue. Thereafter, all built up had to be vetted by a Certified Engineer and submitted for approval. Trucks were not allowed to access the venue, and special transport had to be organized within the venue. The setup was completed on Saturday to avoid any problems for the race on Sunday morning. Despite the area being semi-covered, tents were set up to provide shelter against the rain (this became vitally important as strong winds and rain started soon after the setup).

The venue limited the use of cables or floor mats in certain areas, so all antennas had to be set up on one side (without any overhead antennas).

The race structure had one simple and one rather complex calculation. The simple structure was an age-based award for the first three runners. The complex structure was based on several criteria (age, location, and race time). 

When an event company needed a reliable race timing solution for 500 participants across different categories, Globibo stepped in to make every second count. Globibo’s Video Slicing Synchronization Tool and a new timing-capturing platform were integrated into the event, ensuring every moment was tracked precisely and accurately.

Globibo provided a race timing solution for an event company with approximately 500 participants in different categories. The equipment provided by Globibo included Race Bibs, Race Chips, one timing gate with four readers, race timing software, a 5-meter inflatable arch, tents, and two inflatable tube men.
During the same event, Globibo tested the 2 new systems using its Video-slicing synchronization tool and a new timing-capturing platform.

First of all, the Client was GREAT. Certainly, it’s hard to manage last-minute changes, but the Client was extremely friendly, supportive, and collaborative in working with us. Great Clients make life so much easier – especially when things get tight.

Despite the rather novel setup, the overall system appeared to work well. The setup looked neat; participants quickly received their bibs/tags without a long waiting time, and the race finished without technical interruption.

Challenges

  • Venue: The venue is not designed for this type of event and does not allow the easy setup of professional infrastructure. Several fundamental structural changes had to be made at the last minute to facilitate the calculation of race times.
  • Race Time Calculations: The system could not calculate certain group combinations. A custom script was written to determine the group results.
  • Weather: While the venue was generally sheltered, strong wind and rain started to pose a risk to certain electronics. Solid tentage and counterweights were established right at the beginning of the setup to keep all people and equipment safe.
  • Design Sensitivity: The end client required several last-minute changes to artifacts to please the corporate communication team. Some items required overnight printing to deliver the right result.
